Some of the Service workflow transitions in FBO One send email messages to defined recipients. This article discusses how to add attachments to those messages.
Service transitions that send emails:
Title | Purpose |
---|---|
CancelThirdPartyService transition |
Sends a cancellation email message to the supplier to cancel the 3rd party service |
OrderThirdPartyService transition |
Sends an email message to a supplier to order a 3rd party service with a supply order attachment |
ClientNotificationService transition |
sends an email message to the debtor/operator |
Adding an Attachment:
Note: If you are not familiar with creating service workflows, we suggest you read The Workflow, Creating a Simple Service workflow, and How to Create an Ops Task Workflow first to understand the construction of a workflow.
In our example, we are going to add a Service Level Agreement (SLA) document to a 3rd Party Service workflow.
- Adding the document to the system.
- Use the instructions in this article to add the SLA template document.
- Navigate to the 'Service Workflow' page and 'select' the 3rd Party Service workflow.
- We are interested in the transition when the order is sent to the service provider. In this case the "Place Order" transition from 'Requires Action' to 'Ordered.
- To add the SLA document:
- With the transition selected, select 'Add new' in the 'Transition document attachments' section.
- Select the 'Template document' dropdown and start typing the document name to filter from the list.
- Select the SLA document and 'Save'
- Note: The 'Sort index*' sorts documents in numerically ascending order when there are two or more.
- If we now create an order and add a service that uses this workflow, we can see that the SLA document is automatically sent during the transition.
- This method is intended to be used for attachments that are sent regularly. The logical alternative for documents that are not sent with every transition would be to use the 'Add attachments' button in the transition screen.
