The 'Report Access' page facilitates the control of report visibility and access by assigning restrictions to specific user roles. This function is especially relevant for reports that contain sensitive data. To restrict access to a report based on specific roles, use the 'Add New' button to specify the report name and assign each role that should be granted access.
Note:
- This function can also be used to hide unused reports by restricting to a role assigned to no users.
- More information on User Roles
- A report without restricted access will be available to all users by default.
Example:
The 'Services (basic)' report requires restrictions in order to be visible/available only for users with either the MGT and/or ACC role(s).
- Filter the list of reports in the 'Report Access' page for reports including the name "services" to see if there are any existing restrictions applied. In this case, a restriction to ACC role is already there, we just need to add the MGT role.
- Select 'Add new' and fill out the dropdown fields to add another restriction to the Services (basic) report before saving the change.
- These steps can be repeated to apply additional role restrictions to this or any other report.
Verify the changes for Individual Users
- To verify which people can now access the report, and that no one is omitted that should have access; go to the 'Roles' screen.
- Select one of the roles you have assigned to see a list of users who will have access to the report restricted to that role. Repeat for the other role.
-
- If a User who should have access is missing from the assigned groups, you have some options.
- Add them to one of the roles.
- Assign a report access restriction to the report for a role that the User is a member of.
- For cases where you have a specific mix of users who will have access, you could create a new role dedicated to access for that report.
- Add them to one of the roles.
- The same logic can be applied in reverse to remove access for an individual User.
