Introduction:
FBO One can automatically send an email notification, to a dedicated receipient list, whenever an order transitions into a new order state.
Use case examples may include notifications to:
- a credit control manager upon the creation of a new handling order.
- the kitchen once an order is marked as 'Crew on board'.
- the billing team whenever an order is transitioned to the back office.
Settings:
The configuration of this functionality is comprised of 5 parts:
- User account(s)
- User Role
- Workflow Transition Email
- OrderStateChangeEmailSubject
- OrderStateChangeEmailBody
1. User accounts.
User accounts define the email address of the receipients.
2. User Roles
User roles defines which users are implicated in the notification.
3. The Workflow Transition Emails
The workflow transition email defines the link between user role and the workflow transition.
This functionality is accessible, by authorised users, via the Menu > Administration > Workflow section. Multiple workflow/user role combinations can be defined as illustrated in the image below.
In this example; all user with a 'BACK OFFICE' role will receive an email notification whenever an order transitions in the the 'Accounting | Registered' state.
In the event an order transitions into a 'HandlingOrder | Cancelled' state all users with 'MGT' will receive an email notification.
3. OrderStateChangeEmailSubject
The subject of the email notification is defined via the Menu > Administration > Application > Email Message Settings section using setting 'OrderStateChangeEmailSubject'.
Note: This setting can also be defined on a per FBO Location basis.
4. OrderStateChangeEmailBody
The content of the email notification is defined via the Menu > Administration > Application > Email Message Settings section using setting 'OrderStateChangeEmailBody'.
Note: This setting can also be defined on a per FBO Location basis.
The email messages that FBO One sends can contain information about the actual flight such as aircraft registration and flight number. These details can be added to the email using Email template variables.
